At French Gite Holidays we do all we can to respect your right to privacy and the protection of your personal information. Our Privacy Policy explains how we collect, use, share and protect your personal information.

We are responsible for the collection and management of any personal information you submit to us either by our website, via email or over the telephone. We keep your personal information secure and use it consistent with applicable privacy and data protection laws and the terms of this Privacy Policy.

3. What information do we collect?

If you choose to make an enquiry or booking through us we will collect details that you provide in relation to that enquiry or booking. Information held is likely to include your name, contact and address details including your email address and a contact telephone number, where you heard about us, dates of travel, information about the people/pets travelling with you, bank details to allow us to refund security deposit(s) and any additional information we may need to help answer any of your queries.

Credit card payments are made via secure link/invoice and therefore we do not have access to your credit card details. We do not take credit/debit card payments over the phone.

If you are a property owner and let your holiday accommodation through us we will collect details such as your name, contact details, bank account details and details regarding the accommodation you wish to let.

We do not currently collect website usage information (cookies).

4. How do we use your information?

The information you provide may be used in several ways, including, but not limited to:

  • To enable us to answer any queries relating to the suitability of an area, property or properties

  • To enable us to process and complete your booking if you are booking a holiday property rental

  • To enable us to contact you with any relevant information regarding your booking including information about the area, travel advice and agreements/discounts that we have with our partner organisations

  • To allow us to transfer the security deposit back to you after your holiday rental period

  • To enable us to advertise your holiday accommodation, communicate with you regarding customer queries and transfer any payments due to you

  • For statistical purposes

5. On what legal basis will we process your information?

We will always process your personal information on lawful grounds and in particular on the grounds set out below:-

Consent

Currently we do not pass on your details to any third parties unless you enter into a booking contract with us, see below.

Contract

If you make a booking through us we will use the details that you give to provide that booking to you. This information is likely to include your name, contact and address details including your email address and a contact telephone number, where you heard about us, dates of travel, information about the people/pets travelling with you, bank details to allow us to refund security deposit(s).

When a booking is confirmed by ourselves after payment of the deposit we pass on name and contact details to the property owner to meet their insurance obligations and to allow them to contact you with any relevant travel, timing or property access information.

If you let your holiday accommodation through us we will use information details such as your name, contact details, bank account details and details regarding the accommodation you wish to let to best perform our agreement(s) with you. We will, with your consent, pass on your contact details to the guest in the property joining instructions/directions to enable them to contact you if required.

If you do not provide us with the minimum necessary information, then we may not be able to provide the booking or our letting/advertising services.

Legitimate Interest

We want to give you the best possible customer experience whilst respecting your privacy.

We may use your name and contact details to tell you about our own products, services and updates which we think may be of interest to you. You can ask us to stop doing so at any time.

We may use some of your personal information for statistical purposes.

Social media providers may use socio-demographic information about you to identify other people like you, with similar interests to present our marketing to. This socio-demographic information is not used for any other purpose nor shared with any other party. No information about other individuals identified from these networks is shared with us at any time. We may access information such as your name, profile picture, gender, birthday, email address, town or district and any other information you have chosen to make available. Subject to your privacy settings, we access information that you provide to a social media provider regarding your respective locations (“Location Data”) to provide you with relevant content. We do not store or use any information related to the friends you are connected with on any social media site.

Legal Obligation

We may also disclose your personal information without your permission to the extent that we are required to do so by law or regulation.

6. When do we share personal information?

As customer/guest we only share your basic contact details with the property owner when you make a holiday rental booking as explained above in point 5 ‘Contract’.

As an owner we only share your contact details with a customer/guest when they have paid the balance of the rental in full and we send out the property joining instructions/directions as explained above in point 5 ‘Contract’.

We may also disclose your personal information without your permission in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal right.

7. Where do we store and process personal information?

We use third party service providers to help us manage efficient systems for the business such as web and database hosting.

We will only transfer your information to service providers who help manage our systems where we are satisfied that this is lawful and that adequate levels of protection are in place to protect the integrity and security of any information being processed and in compliance with applicable privacy laws.

8. Security

We are committed to ensuring that your information is secure with us and third parties who act on our behalf. Email accounts and database access are password protected and are hosted on secure servers to prevent unauthorised access. Secure back-ups are made to ensure business continuity and disaster recovery, again these are password protected and hosted on secure servers. Telephone calls are not monitored or recorded.

9. How long will we keep your personal information for?

Your information is only stored whilst it is required for relevant business purposes or to meet specific legal requirements. When your information is no longer required, we will ensure it is disposed of or deleted in a secure manner.

Under the GDPR we respect your rights in respect of access and control your personal information.

You have the right to ask us at any time:

  • To confirm whether we hold any of your personal information

  • To send you a copy of any personal information that we hold about you

  • To correct any inaccuracies in your personal information and to add relevant details where the personal information we hold is incomplete

  • To delete (to the extent possible) any of your personal information, where we are required by law to do so

  • To stop processing any of your personal information that we process on the basis of our legitimate interests

  • To confirm what personal information, and to whom, is disclosed to any third parties

  • To stop sending you any marketing or promotional material
